Parental Agreement

This agreement sets out the terms on which Rugby Music Centre (“RMC”, “we”, “us”) provides music tuition to your child. By enrolling your child through our booking site, you accept these terms. Please read them — we've kept them in plain English.

1. What we provide

One-to-one lessons — 30-minute individual lessons in Vocals, Guitar, Piano, Beginner Piano, or Violin, taught on Tuesdays and Wednesdays after school. When you book, you choose an instrument, a teacher, and a specific weekly time slot, which is reserved for your child for the term.

Ensembles and group sessions — weekly group sessions including Electric Guitar Orchestra (Junior and Senior), Choir (Junior and Senior), Chamber Ensemble, and Music Theory.

2. Terms and lesson dates

The teaching year runs in three terms — Autumn, Spring, and Summer — with 10 lessons per term. Term dates are published in advance on our website and confirmed in your booking emails.

Occasionally a teacher has planned dates off during a term on which no lesson runs. Where this happens, we schedule the term so your child still receives 10 lessons, or we credit or refund the difference (see section 6).

3. Fees

  • One-to-one lessons: £195 per term (10 × 30-minute lessons).
  • Ensembles: £65 per term for one group, £115 for two, £145 for three or more (fees are capped at £145 per term however many groups your child joins).

We may revise fees for future terms. We will always tell you the fee before you are charged for a new term.

4. Payment

Payments are handled by Stripe, our payment processor. When you sign up, your card details are securely saved by Stripe — we never see or store your full card number ourselves.

Fees are charged once per term. We will email you before any payment is taken. If a payment fails, we will contact you to arrange payment; we may suspend lessons if fees remain unpaid after reasonable reminders.

5. Enrolment, continuing lessons, and stopping

Enrolment continues term to term. Your child's slot is held for the following term and the next term's fee is charged (with advance notice by email) unless you tell us they are stopping.

Stopping at the end of a term: to stop lessons for the following term, let us know in writing (email is fine) at least half a term — five weeks — before the last lesson of the current term. If we receive your notice later than this, your child's place is treated as continuing and the following term's fee falls due; however, if we are able to re-fill the slot, we will refund it.

Withdrawing mid-term: you may withdraw your child during a term by giving five weeks' written notice. Lessons falling within the five-week notice period go ahead as normal and remain chargeable; we will refund the fees for any booked lessons falling after the notice period ends.

Your 14-day cooling-off right: because you book online, you have a legal right under the Consumer Contracts Regulations 2013 to cancel within 14 days of booking for a full refund. If lessons begin within that 14-day period at your request, we may deduct a proportionate amount for lessons already delivered.

6. Missed lessons and cancellations

If your child misses a lesson (illness, holidays, school events, or any other reason on your side), the lesson is not refunded and is not made up. The weekly slot is reserved exclusively for your child, and our teachers are committed for that time whether or not the lesson is attended.

If we or the teacher cancel a lesson (including teacher illness or planned teacher absence that cannot be scheduled around), we will offer a make-up lesson where possible, and otherwise credit the fee against your next term or refund it — your choice.

7. Your responsibilities

  • Please make sure your child arrives on time and is collected promptly. Children remain your responsibility outside their lesson or session time.
  • Please provide any instrument and materials your child needs for home practice, unless we've agreed otherwise.
  • Please keep your contact details up to date so our emails (payment notices, lesson-time notices) reach you.
  • Tell us about anything we should know to teach your child safely and well (e.g. relevant medical or additional needs).

8. Our responsibilities

  • We will provide qualified, suitable teachers and a safe environment for lessons.
  • We may occasionally need to change your child's teacher or adjust the timetable. If we make a change you're genuinely unhappy with, you may withdraw and we will refund any lessons not yet delivered.
  • We follow appropriate safeguarding practices for working with children and young people.

9. Liability

Nothing in this agreement excludes or limits our liability for death or personal injury caused by our negligence, or for anything else that cannot be excluded by law. We are not responsible for loss or damage to personal property brought to lessons (including instruments), except where caused by our negligence. Our total liability to you under this agreement is limited to the fees you have paid to us in the relevant term.

10. Complaints

If something isn't right, please email enquiries@rugbymusiccentre.co.uk and we will do our best to resolve it quickly and fairly.

11. General

We may update these terms from time to time; the version in force when a term is booked applies to that term, and we'll flag significant changes by email.

This agreement is governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. Nothing in it affects your statutory rights as a consumer.
